Telling People What the Chain Does

Four systems holding overlapping records is harder to explain than one, and the explanation is an obligation as well as a courtesy.

Workers experience the chain as a set of apps that disagree with each other. The explanation is usually given per module, which explains nothing.

What they actually want to know

Where do I see my rota, my hours, my balance and my payslip? Four places, usually, and saying so plainly is more useful than pretending it is one.

Which one is right when they disagree?

What happens if it is wrong, and how do I get it fixed?

Who can see what about me?

How long is it kept?

The four-system answer

Say which system is authoritative for what.

"Your balance in the HR system is the one that counts; the app shows a copy that updates overnight."

Because people notice the disagreement and in the absence of an explanation conclude that nobody knows.

Which is frequently true and is worth fixing rather than concealing.

The correction route

One route, whichever system the error is in.

Not: work out which module is wrong and find its owner, which asks the worker to understand an estate they did not build.

A single named contact who routes it, and a stated response time.

Measure time to resolution, because that is their experience of the whole chain.

What the notice has to cover

General orientation, not legal advice.

What is collected, across the systems together.

The purposes, which differ by module and should be stated per purpose rather than as one list.

Who has access, including vendors and any bureau.

Retention, per category.

Their rights and how to exercise them, including where to send an access request so it reaches all four.

Consultation

Where a works council or equivalent has rights over monitoring-capable systems, the chain triggers them even if no single module would.

Because the assembly is more than the parts, which is the same argument as the impact assessment.

Raise it before procurement, not after a contract.

The test

Ask three people where they would go if their hours were wrong.

If you get three different answers, or a shrug, the correction route does not exist regardless of what the policy says.
